DMC AV Partner
The AV Partner for DMCs and Incentive Programs, at Home and on the Road
Destination management companies run the ground. AVP.Live runs the AV. When your group comes to New Jersey, New York City or Philadelphia, we are the local production partner behind your name. When a client's program goes somewhere else, the crew that already knows their show can travel with it.
Two ways DMCs and incentive planners work with us
A destination management company, or DMC, is the local expert a planner hires to run a program on the ground: transportation, venues, tours, events, and the preferred suppliers behind them. AV is one of those suppliers, and it is the one every guest sees at the same moment. We work with DMCs in two directions. Bringing a group in: you hold the client and the program, and we are your local AV and live production team for the welcome reception, the general session, the awards dinner and everything between, across as many venues as the program uses. Taking a group out: a corporate client's incentive or leadership meeting is at a resort somewhere else, and they want the crew that knows their brand, their speakers and their show flow. We travel with the program and work with the destination DMC and the resort's in-house AV, not against them.
What AV does an incentive program need?
We size it from your run of show: a general session with screens, stage audio and cameras, speech reinforcement and playback at the awards dinner, and breakout rooms. We build it around how a DMC program actually runs: several events, several venues, one guest experience.
General sessions
Staging AV, screens, cameras and program audio for the main room, with a show caller working from your run of show.
Receptions and awards dinners
Speech reinforcement, walk-up music, playback and lighting support that suit a ballroom or a rooftop without taking it over.
Breakouts and workshops
A standard kit per room, so the afternoon sessions match the morning keynote.
Multi-venue programs
One crew carries the program from the hotel ballroom to the offsite dinner to the closing night, so the look and the cues stay consistent.
Hybrid for the people who stayed home
The general session streamed to colleagues who did not travel, on your client's platform or a private link.
Recap video
A highlight edit of the program, turned around on a schedule agreed up front, ready for the closing session or your client's internal channels.
When we travel with your group
What travels
A fly-pack sized to the program: cameras, switching, audio, comms and the stream uplink. Large items like screens and staging can be sourced near the destination.
What we coordinate
Freight, power, load-in windows and the venue's vendor rules, agreed with the destination DMC and the venue before anyone books a flight.
In-house AV at the resort
Where the resort has an exclusive provider, we split the work in writing: they keep what the contract requires, and we run the show your client knows.
Travel on its own line
Crew travel and freight are quoted as their own lines, never buried in a day rate.
How we produce it
The owned capability stack behind this work, each documented in depth.
Multi-Camera Production
The switched program feed. A technical director cuts your show in real time.
Audio Production
The room mix and the broadcast mix, treated as two different jobs.
Live Streaming
Professional streams that hold, delivered wherever your audience watches.
Remote Production
Your venue, our control room. Big-show quality without the truck.
Post-Event Editing
Recaps, clips, and replay masters cut from the broadcast you already paid for.
Event WiFi & Connectivity
Our own uplinks and a separate show network. Venue internet is used only when it passes our survey.
How a DMC partnership starts
- 01
Send the program outline
Dates, venues, rough guest count and the run of show, even in draft. An RFP is fine; so is an email.
- 02
A call with your program manager
Fifteen minutes on the client, the venues, the branding rules, and how visible you want us to be.
- 03
Venue walk-throughs
Free for venues in New Jersey, New York City and Philadelphia. For a destination elsewhere, we work from the venue's specs and a call with the local DMC and in-house AV team.
- 04
An itemized partner quote
In your format if you have one, with COI and W-9 attached, so it drops straight into your proposal.
- 05
Show days
One named lead from planning to strike, reachable on load-in morning, working under your brand.
Why DMCs and incentive planners use us
A DMC's reputation is built on suppliers who make the program look easy. We behave like one of yours.
Will you contact our client?
Not unless you ask us to. White-label is our default for DMC work: your branding or none, no business cards, no follow-up, no social tags. The terms are on our partner page, and we will put them in writing.
Program vocabulary, not just gear
We plan from your run of show: general session, breakouts, dine-around, awards. We know what a program manager needs to hear on a 6am call.
Venue rules, checked first
Before we quote, we read each venue's production guidelines and labor rules, ask about loading dock windows, and find out who controls the internet, then put what we find in the quote.
Paperwork in the first email
Fully insured, with a certificate of insurance naming your client and the venue, plus W-9 and crew list, sent with the quote.
Broadcast standards on every program
An engineering review before every show, redundant recording, and audio networks designed by our technical director, Val Ries, who is Dante Level 2 certified. An incentive program happens once; the recording has to exist.
Honest about in-sourcing
Some DMCs own a little AV kit, and for a welcome reception that may be all you need. We are for the general session, the hybrid stream, and the program where a failure would be remembered.
What clients say
5.0 from 14 reviews on Google
10 stars! Working with Anthony and VJ is incredible! They ACTUALLY work WITH you. They ask all the right questions to get the vision of what you want to do and they make it come to Life in the cleanest, most professional way.
I recently had the pleasure of working with AVP.Live for both my marketing needs and live stream events, and I must say, they are absolutely the best in the business! Their team is not only extremely professional but also incredibly knowledgeable, making the whole process smooth and stress-free.
What moves a program quote
Program AV is priced by event, venue and day, and the quote comes back itemized so it fits inside your proposal. What moves the number:
- How many events and venues the program uses, and how many run on the same day.
- The general session: screens, cameras, stage audio and streaming.
- Venue rules: in-house AV exclusives, patch and outside vendor fees, and union labor where it applies.
- Travel, freight and fly-pack size when we go with the group.
- Notice. A program handed over months ahead lets us hold crew; a short-notice add-on is quoted as one.
Rates on request. Call (848) 279-9164 and you will get a straight number on the phone, not a form and a follow-up email.
Common questions
+What does a destination management company do?
A DMC is the local expert hired to run a group program at a destination: transportation, venues, tours, events, on-site staff, and the preferred suppliers who deliver them. Planners use a DMC so a program in an unfamiliar city runs as if it were in their own.
+What is the difference between a DMC and a DMO?
A DMC is a company you hire to run your program. A DMO, or destination marketing organization, is the city's convention and visitors bureau: it promotes the destination, refers planners to local businesses, and does not charge planners. Both are useful; only one runs your welcome reception.
+Will you work under our brand?
Under your brand, yes: white-label is our default for DMC work, in your branding or plain black. Contact your client? Not unless you ask us to: no business cards, no follow-up, no social tags. We will put it in the agreement.
+Can your crew travel with our group to another destination?
It can, depending on the job and the notice, like any partner job. Tell us the destination and dates on the first call. We confirm the fly-pack, freight, power and the venue's vendor rules in writing, and travel is quoted on its own line.
+How do you work with the hotel's in-house AV provider at our venue?
In writing and in advance. We split the work so the hotel keeps what the contract requires and we run the show, and the patch and outside vendor fees go into the quote where you can see them.
+How do you size the AV for an incentive program?
It depends on the run of show. A program can include a general session with screens, stage audio and cameras; speech reinforcement and playback at an awards dinner; and breakout rooms. Some add a stream for the people who did not travel. We size it from your run of show, not from a package.
+What do you need from us to quote a program?
Dates, venues, a rough guest count and a draft run of show. We come back with an itemized quote, in your format if you have one, with COI and W-9 attached.
+What is an event production company?
The team that designs and runs the technical side of an event: audio, video, lighting support, staging, streaming, and the crew who operate it on the day. AVP.Live is one, with a broadcast background, which is why our programs are built to be recorded and streamed as well as seen in the room.
For program managers
Pages that help when you plan a program with us.
- How white-label jobs work covers the four partner models, from fully unbranded to named subcontractor, and who invoices whom.
- Working inside a hotel's AV rules explains outside vendor fees, patch fees and union requirements, which shape hotel-based programs.
- Conference WiFi and internet is for programs that need attendee WiFi or presenter connections the venue cannot guarantee.
- Credentials and insurance lists the Dante Level 2 certification and our insurance, each with its document on file, and how to get our certificate of insurance and W-9.
- Post-event editing turns the general session and the awards dinner into recap video your client can use after the trip.
